Re-order previous classes on the 'copy from' drop down

When setting up a new term or date block, having to scroll to the bottom of a very long list is sometimes confusing and time consuming. Can the classes be re-ordered to put the most recent at the top? Or any other alternatives to make this easier to use? Request sent by Emma at MontySaurus

Email options linked to the email participants section on the register

It would be useful if you could choose an email from the pre-written emails e.g. ‘trial attended’ email from the register when you select participants- action - email. I personally use price bands for trail sessions as my trials are in 2 week blocks so the trial function doesn’t work for me. Therefore after a participant has attended both trials I have to email them individually to ask them if they’d like to book the remainder of the term. It would be helpful if there was a shortcut to be able to select the prewritten email directly from the register.

Recognise the Irish Fada accent

The system currently can’t handle the Fada in many Irish names, so the name appears as garbled symbols or text on Book That In. Please update the system so it can handle the Irish Fada.

Let Customers book as many PAYG sessions as they want and automatically Calculate the price

Currently Book That In allows you to set up different Price Bands for any number of sessions that a customer books. So if you wanted to let customers book any combination or 1, 2, 3, 4, or 5 sessions, then it would require 5 different price bands. This feature would allow the business owner to set up a single Price Band, set the price per session, and the system would automatically calculate the total cost based on the number of sessions booked.

Switching registers

I have numerous registers. On Mondays I have 3 that start at the same time. Can a way of switching from one regiser to another easily be created. Or a way of showing merged registers for that entry day/time, a ‘show all registers that start at X time and day’.

Display participants listed in alphabetic order by their first name on registers so that names can be found quickly.

Let booking-related ad hoc emails reach customers who have unsubscribed

The situation: when a customer unsubscribes, Book That In blocks all ad hoc emails sent to them from the Client Area or Group Overview, whatever the content. Templated emails (booking confirmations, cancellations and so on) still go out, but there is no way to send a one-off message about a booking the customer already holds. This can make it hard for providers to reach all customers with urgent communications, e.g. Class has been cancelled. The existing workaround (manually opting the customer back in from the Client Area, sending the email, then re-unsubscribing them) does work, but it is not ideal. Sending from AutoMate smart lists is another option, but not every provider uses AutoMate and it still means leaving the booking system to send a booking message. The request: when composing an ad hoc email, ask the sender to stipulate whether the message is about the recipient’s booking or about something else. If it is about their booking, the system would ignore any unsubscribe and deliver the email, so that urgent operational updates (venue changes, weather cancellations, time changes) reach everyone who is actually booked on. If it is about anything else, unsubscribes would be respected as they are now. This would let providers keep customers informed about the sessions they’ve booked without compromising marketing opt-out preferences.

Allow businesses to send ad hoc emails from their own email address

It is already possible to do this for all templated emails, but when ad hoc emails are sent from Book That In, they are always sent from Book That In. This change would permit you to send ALL emails through Book That In so they are sent from your own domain’s email address.

Limit voucher codes to one use per customer

Some providers promote a single voucher code on printed materials (e.g. leaflets), intending it to be used once per customer. At the moment the ‘Number of Uses’ setting limits the total number of redemptions across all customers, not uses per person - so customers can redeem the same shared code multiple times for multiple bookings. The existing workaround (auto-generating a batch of unique single-use codes) doesn’t work in this scenario, because a code printed on leaflets has to be one shared code that everybody sees. The request: add a ‘maximum uses per customer’ setting on voucher codes (e.g. 1 per customer), alongside the existing total uses limit. This would let providers safely run a single public code on printed materials without it being reused.

Allow customers to choose a later end date for subscription

With customers only being able to cancel exactly a month from the date they choose to cancel I am finding customers are cancelling earlier than they actually intend to. It would be good if the they could cancel with at least a months notice so they could also choose a later date. Say for example they know when they’re returning to work and could select that future date.

Allow users to set a fixed number of payments on subscriptions

Summary Allow admins to create a subscription-style payment option that automatically stops after a fixed number of payments, rather than continuing indefinitely. Use Case Some course providers offer customers the option to pay for a course in instalments, for example 2, 3, or 4 monthly payments. Currently, this is often managed manually: the customer pays an initial amount when booking, then the provider charges the balance payment(s) later manually. This can create extra admin. A fixed-payment subscription would allow providers to offer instalment plans where payments are collected automatically, reducing manual follow-up and helping customers spread the cost without needing an external “buy now, pay later” provider. Proposed Functionality When setting up a subscription payment option, allow the admin to enter a Number of Payments. For example: 2 payments of £150 3 payments of £100 4 payments of £75 The subscription should automatically cancel or stop after the selected number of payments has been collected. Requirements Admin can choose the number of payments/instalments. Payments are taken automatically at the subscription interval. Subscription automatically ends after the final payment. All instalments are the same amount. Existing ongoing subscriptions should remain the default.

Allow decimal places for Percentage discounts on voucher codes

Currently, only whole integer % amounts are allowed to be set for percentage discounts on voucher codes. Sometimes people want to set a decimal place, e.g. 12.5% or 1.67% This request is to make the system allow this to happen

Add a grace period before registers auto-advance to the next date

It would be really helpful to have an optional grace period before a register automatically moves on to the next class date after a session has finished. 🧾 Current issue At the moment, once a class end time has passed, the register/calendar can move forward to the following week quite quickly. This means that if a coach or admin updates the register shortly after the class has finished, they may accidentally start editing next week’s register instead of the one that has just taken place. ⚽ Example If a class finishes at 10:00am and the coach updates attendance at 10:05am, 10:15am, or even a little later, it would be useful if the system still defaulted to today’s completed register rather than automatically showing the next week’s date. ⚙️ Suggested improvement Could there be an optional setting where each business can choose how long the completed register remains visible after the class finishes? For example: 15 minutes after the class ends 30 minutes after the class ends 60 minutes after the class ends Custom time set by the business 👥 Why this should be optional I understand this may not suit every business as a default, because some businesses may run back-to-back sessions and may want the next register to appear straight away. So it would be ideal if this could be a setting at company, venue, class, or event level. ✅ Why this would help This would reduce accidental edits to future registers, especially when: Training new coaches Updating attendance just after a session Checking who attended at the end of class Managing multiple weekly classes Avoiding confusion between today’s register and next week’s register A small optional grace period would make the register much safer and easier to use after each class finishes.

Remove duplicated names

If someone adds themselves to the waiting list, they can currently add themselves to the same day and time, multiple times. It would be handy to recognise duplications of the same name on the same day and time and remove duplicates.

Multi-Line Text Booking Questions have several blank spaces in the answer

When a multi-line booking question appears on the booking form, there are several blank spaces pre-populated as the answer. This means the booker either has to delete all the blank spaces first, or they enter their answer after the blank spaces, which can make it hard to read their answer on the register.

Typing in a date in a date field isn't recognised correctly by the system

When a Date field is used on a booking form, if someone decides to type in the date instead of using the pop up date selection tool, the field struggles to recognise the input. e.g. if you type 15/12/2015, then the field is automatically updated to 15-Jan-0012. A couple of solutions are possible here: (Preferred) Interpret typed entries correctly Don't allow typed entries - force people to use the date selection tool to ensure correct dates are entered

Schedule an event or class booking to go live

Rather than having to do this manually, eg An event is set up and bookings to go live 6pm Monday, it would be brilliant if we could schedule the date and time and it goes live automatically at schedule

Schedule date & time to process renewals

I would love to be able to set my autorenewals to process on a date and time I choose. I currently have to go and press it manually but this would be a great feature to have to schedule them.

Link to copy booking links on Company Settings doesn't actually copy link to clip board on iPhones

Clicking on the 'Copy Link' button for the booking links on the Company Settings screen for either Category or Location booking links doesn't actually copy the URL to the clipboard on iphone. It is fine on Android.

Integrate with a Different Payment Provider other than Stripe

Stripe is great, but it doesn’t work for companies based in Jersey, or the Isle of Man. Please integrate with a different payment gateway to give businesses in these localities the option of taking payments through Book That In.
